ATTENDANCE POLICY

Purpose
Swift Security Services is committed to maintaining a reliable, professional, and respectful workplace for all employees, clients, and stakeholders. This Attendance Policy sets out the expectations for punctuality and attendance for all security personnel assigned through our agency to client sites across Ontario.
Scope
This policy applies to all individuals employed by or placed through Swift Security Services, including full-time, part-time, contract, and temporary security personnel, regardless of site location, shift type, or assignment duration.
Attendance Expectations
All security personnel are expected to:
- Report to their assigned post on time, in full uniform, and fully prepared at the start of every scheduled shift without exception.
- Notify their Swift Security supervisor and the client site contact at least 2 hours before the scheduled shift start if unable to attend for any reason.
- Provide a valid, honest reason for any absence, late arrival, or early departure from an assigned shift.
- Maintain a consistent and reliable attendance record throughout the full duration of their assignment.
- Follow proper handover procedures when relieving or being relieved by another officer at shift change.
No-Call, No-Show Policy
A no-call, no-show occurs when a guard fails to report for their assigned shift and does not contact Swift Security Services or the client site prior to the shift start time. This is treated as a serious violation of employment obligations and site security commitments. A first no-call, no-show occurrence results in a formal written warning placed on file. A second occurrence within a 12-month period may result in immediate removal from the assignment and termination of the employment relationship without further notice.
Medical & Emergency Absences
Swift Security understands that genuine illness and personal emergencies occur. Guards requiring absences due to medical reasons should contact their assigned Swift Security supervisor as soon as reasonably practicable — ideally before the shift begins or within the first hour of the missed shift. A medical certificate from a licensed healthcare provider may be required for absences exceeding two consecutive scheduled shifts.
Patterns of Absenteeism
Even where individual absences are separately excused, patterns of absenteeism — including repeated absences on Mondays, Fridays, days immediately before or after statutory holidays, or clustered absences within short periods — may be subject to progressive discipline and management review regardless of the stated reasons.
Consequences of Non-Compliance
Guards who fail to meet the attendance expectations set out in this policy may be subject to progressive disciplinary action, including verbal warning, written warning, suspension without pay, or termination of the employment relationship. Attendance records may be disclosed to client employers where contractually required or where client operations have been materially impacted by a guard's absences.

ANTI-HARASSMENT POLICY

Our Commitment
Swift Security Services is fully committed to providing a work environment free from harassment, discrimination, workplace violence, and any conduct that demeans or disrespects any individual. Every worker, client, candidate, and visitor has the right to be treated with dignity, respect, and professionalism at all times and in all environments — client sites, training facilities, and our own offices.
Legal Framework
This policy is consistent with the Ontario Human Rights Code, the Occupational Health and Safety Act (OHSA) Workplace Violence and Harassment provisions, and all applicable federal and provincial legislation. Swift Security is committed to meeting and exceeding all statutory obligations in this area.
Definition of Harassment
Workplace harassment includes any vexatious comment or conduct directed at a worker that is known or ought reasonably to be known to be unwelcome, including but not limited to:
- Verbal abuse, derogatory comments, offensive jokes, insults, or name-calling of any kind.
- Unwelcome physical contact, touching, or gestures directed at any individual.
- Discrimination based on any ground protected under the Ontario Human Rights Code, including race, gender identity, age, disability, religion, sexual orientation, and family status.
- Sexual harassment — unwanted sexual advances, requests for sexual favours, or other unwelcome sexual conduct of any nature.
- Bullying, intimidation, coercion, or threatening behaviour directed at any individual at any time.
- Cyber-harassment or the misuse of digital communications, messaging applications, or social media platforms targeting a colleague.
Workplace Violence
Workplace violence — including physical assault, threatening behaviour, or any act that causes a person to reasonably believe they are at risk of physical injury — is strictly prohibited. Any act of workplace violence will result in immediate termination of the employment relationship and may be reported to the appropriate law enforcement authorities without hesitation.
Reporting Procedure
Any worker who experiences or witnesses harassment or workplace violence is strongly encouraged to report it as soon as possible through any of the following channels:

All complaints will be treated with strict confidentiality to the maximum extent possible and will be investigated promptly, thoroughly, and impartially. Both the complainant and respondent will be given a full opportunity to present their account of events. Retaliation against any person who makes a report in good faith is itself a serious violation of this policy and will not be tolerated under any circumstances.
Consequences
Any individual found, following investigation, to have engaged in harassment or workplace violence will be subject to disciplinary action proportionate to the severity of the conduct — up to and including immediate termination of their employment or placement relationship with Swift Security Services. Findings may be reported to the Ontario Ministry of the Solicitor General or other regulatory bodies where required by applicable law.

HEALTH & SAFETY POLICY

Statement of Commitment
Swift Security Services is firmly committed to protecting the health, safety, and well-being of all workers, clients, contractors, and visitors. We comply fully with the Occupational Health and Safety Act (OHSA) of Ontario and all applicable regulations, and we strive to maintain the highest possible standards of workplace safety across every assignment location and operational environment we manage.
Responsibilities — Swift Security Services (Employer)
- Provide all workers with thorough health and safety orientation before beginning any assignment, including site-specific hazard identification for each location.
- Ensure all mandatory training is completed before deployment — including WHMIS, Ontario Health & Safety Awareness, and any required site-specific certifications.
- Investigate all reported work refusals, incidents, near-misses, and workplace injuries promptly and document findings thoroughly in writing.
- Cooperate fully with client employers, the Ministry of Labour, Training and Skills Development, and WSIB in maintaining safe working environments.
- Provide, at no cost to the worker, all required personal protective equipment for the assigned work environment and task.
Responsibilities — Security Personnel (Workers)
- Follow all health and safety rules, procedures, and instructions provided by Swift Security and the client employer at all times without exception.
- Use all personal protective equipment (PPE) provided and maintain it in proper working condition throughout each shift.
- Report any unsafe conditions, hazards, injuries, or near-misses to a Swift Security supervisor immediately — do not wait until the end of the shift to report.
- Do not perform any task that you reasonably believe poses a risk of injury until the hazard has been properly assessed and adequately controlled.
- Participate actively in health and safety training, site inspections, and any Joint Health and Safety Committee (JHSC) activities at the client site.
Right to Refuse Unsafe Work
Under Section 43 of the OHSA, all Ontario workers have the legal right to refuse work they have reason to believe is likely to endanger themselves or another worker — without fear of reprisal, discipline, demotion, or any other negative employment consequence. If you believe a task is unsafe, stop work immediately, notify your Swift Security supervisor, and do not resume the task until the situation has been formally investigated and the hazard properly resolved or controlled.
Reporting Incidents
All workplace injuries, illnesses, and near-misses must be reported to Swift Security Services within 24 hours of occurrence. Swift Security will work with the client employer and WSIB to fulfill all mandatory reporting obligations under the OHSA and WSIA. Failure to report an incident in a timely manner may negatively affect the availability of WSIB benefits and your ability to make a successful claim.
WSIB Coverage
All workers placed by Swift Security Services on client assignments are covered by WSIB (Workplace Safety and Insurance Board) throughout the full duration of their assignment. In the event of a workplace injury or occupational illness, notify your supervisor and Swift Security Services immediately to initiate the WSIB claim process and receive the full benefits to which you are entitled under Ontario law.

PRIVACY POLICY

Introduction
Swift Security Services ("we," "us," or "our") is committed to protecting the privacy and security of all personal information we collect, use, and disclose in the course of our operations. This Privacy Policy describes our privacy practices in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and all applicable Ontario privacy legislation.
Information We Collect
- Security Personnel: Full legal name, contact information, residential address, resume and employment history, professional references, Social Insurance Number (where legally required for payroll), work authorization status, training certifications, and Ontario security guard license number and expiry.
- Clients: Company name, authorized contact names and details, billing and payment information, site addresses and access information, specific security requirements, and all incident documentation and shift reports.
- Website Visitors: Browser type, IP address, pages visited, and time on site through standard, anonymized web analytics tools. No personally identifiable information is collected through analytics without your explicit consent.
Purpose of Collection
Personal information is collected only for the following specific and legitimate purposes:
- Matching and deploying qualified security personnel to appropriate client assignments across Ontario.
- Processing payroll, source deductions, T4 issuance, and all WSIB documentation as required by law.
- Communicating with clients regarding security service delivery, scheduling, and incident reporting.
- Conducting background checks and employment screening for all security personnel before deployment.
- Complying with all legal obligations under applicable provincial and federal legislation.
- Improving our service delivery practices and website user experience over time.
Disclosure of Information
Swift Security Services does not sell, rent, trade, or otherwise disclose personal information to unaffiliated third parties for commercial purposes under any circumstances. We may share personal information with client employers (with the consent of the guard, for assignment evaluation purposes); payroll processors and accounting service providers under strict confidentiality agreements; and regulatory authorities where required or authorized by applicable law.
Data Retention
Personal information is retained only as long as necessary to fulfill the purposes for which it was collected, or as required by applicable law. Personnel records are typically retained for a minimum of 7 years following the end of the employment relationship, in accordance with Ontario employment standards requirements. Website analytics data is anonymized and aggregated before storage.
Security Safeguards
Swift Security Services implements reasonable organizational, physical, and technological safeguards to protect all personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification — including encrypted digital file storage, role-based access controls, secure document handling, and ongoing staff privacy training and awareness.
Your Rights
You have the right to access the personal information we hold about you, request corrections to any inaccurate information, and withdraw your consent to collection or use where consent is the basis for processing. Agreement to Terms
By engaging Swift Security Services for any security-related services, or by using our website at swiftsecurityservices.ca, you agree to be bound by these Terms and Conditions in their entirety. If you do not agree to these terms, please refrain from using our services or website. We reserve the right to update these Terms at any time, and continued use of our services following any update constitutes your acceptance of the revised Terms.
Services Provided
Swift Security Services provides licensed private security guard services, security system installation and monitoring, live remote video monitoring, mobile surveillance units, and related security consulting services within the Province of Ontario, Canada. All services are subject to a written service agreement executed between Swift Security Services and the client prior to the commencement of any assignment or service.
Service Agreements
All security service engagements are governed by a formal, written Service Agreement which specifies the scope of services, shift schedules, applicable rates, reporting requirements, invoicing terms, and termination provisions. No service will commence without a duly signed agreement in place. Verbal commitments or email confirmations without a signed agreement are not legally binding on Swift Security Services.
Payment Terms
Invoices are issued on a bi-weekly or monthly basis as agreed in the Service Agreement. Payment is due within 15 days of invoice date unless otherwise specified in writing in the Service Agreement. Late payments are subject to interest at a rate of 2% per month (24% per annum) compounded monthly on the outstanding balance from the due date. Swift Security Services reserves the right to suspend or withdraw services for accounts with overdue balances exceeding 30 days, without liability to the client for any resulting security gap.
Client Responsibilities
The client is responsible for providing Swift Security personnel with a safe working environment that complies with all applicable Ontario health and safety legislation. The client must notify Swift Security of any known hazards, risks, or unusual circumstances at the service location that may affect the safety or performance of deployed personnel. Failure to disclose known hazards may affect Swift Security's liability for any incidents arising from such non-disclosure.
Limitation of Liability
Swift Security Services shall not be liable for any indirect, incidental, special, or consequential damages arising from the provision of security services, including but not limited to theft, vandalism, injury, or property damage that occurs despite the presence of properly deployed security personnel. Our aggregate liability for any claim arising under a Service Agreement shall not exceed the total fees paid by the client in the 30 days immediately preceding the incident giving rise to the claim.
Termination
Either party may terminate a Service Agreement by providing written notice as specified within that agreement — typically 30 days written notice. Swift Security Services reserves the right to terminate services immediately and without notice for: non-payment of overdue invoices; client misconduct or abusive treatment of deployed personnel; or circumstances that materially compromise the health and safety of our guards.
Governing Law
These Terms and Conditions and all Service Agreements are governed by and construed in accordance with the laws of the Province of Ontario and the applicable federal laws of Canada. Any disputes arising hereunder shall be subject to the exclusive jurisdiction of the courts of the Province of Ontario, and both parties consent to that jurisdiction.
